Free rental application form

Rental application: a free printable rental application form

Fill in the property, the fee and what to attach, then download a blank rental application printable in Word or PDF and hand the same one to every applicant. A free rental verification form for the previous landlord comes with it.

In California the form adds the screening fee terms the law requires.

Write 0 if you charge none.

Ask the applicant to attach

A page the applicant signs and you send to their previous landlord.

Every field is optional; a blank prints as a line to write on. The form is in English, as it is used in the US.

The form as it will print, updating as you type.

For a landlord renting a home in the US. Nothing is stored and nothing is sent; the form is built in this browser.

What the form asks

Sample rental application: what every applicant fills in

The standard sections, in the order a landlord reads them, with nothing that has no bearing on whether the rent will be paid.

  • The applicant

Name, date of birth, contact details, the ID and number used for the credit check, the move-in date, other occupants and pets.

  • Residence history

The current and previous address, the rent paid, each landlord’s name and phone, and why the applicant is leaving.

  • Employment and income

Employer, position, start date, a supervisor to call, gross monthly income, and any other income the applicant wants counted.

  • References

Two people who know the applicant, with how they know them and a phone number.

  • Consent to screening

The applicant’s signed permission to run a credit and background check and to call landlords, employers and references.

  • Rental verification

An optional page for the previous landlord: dates, rent, whether it was paid on time, and whether they would rent again.

The rules

Rental application rules: fair housing, credit checks, California and Hawaii

A few federal and state rules shape what a rental application may ask and what happens after it. Each is linked to its official text.

  • Fair housing

The Fair Housing Act forbids refusing to rent, or setting different terms, because of race, color, religion, sex, disability, familial status or national origin. Many states and cities protect more. Ask everyone the same questions.

    42 U.S.C. § 3604

  • Turning someone down after a credit check

If a consumer report played a part in turning an applicant down, the Fair Credit Reporting Act says they must be told, with the agency’s name and their right to a free copy and to dispute it.

    15 U.S.C. § 1681m

  • Rental application California: the screening fee

The fee may cover only the actual cost of screening, and never more than $30 per applicant as written in Cal. Civ. Code § 1950.6, adjusted each year since 1998 for the Consumer Price Index; the statute prints no current figure. The applicant gets an itemized receipt, any unused part back, and a copy of the credit report within 7 days. A landlord who charges a fee considers applications in the order received, or refunds everyone not chosen within 7 days of choosing or 30 days of applying.

    Cal. Civ. Code § 1950.6

  • Rental application form Hawaii

Hawaii prescribes no rental application form, so this one works there as anywhere. The rules between landlord and tenant are in the Residential Landlord-Tenant Code, chapter 521 of the Hawaii Revised Statutes. We have not confirmed an application fee limit in it, so this page states none: check the code before you charge one.

    Haw. Rev. Stat. ch. 521

Read against the official texts on November 1, 2026. Not legal advice; a city or a county can add its own rules.

Not legal advice: what an application may ask, what it may cost and how a decision is made differ by state and city. Check the rules where the property is before you use this form.

The questions that follow.

What should a rental application include?

Who the applicant is, where they have lived, where they work and what they earn, two references, the documents to attach, a fair-housing statement, and the applicant’s signed consent to a credit and background check. This form has all of them.

Where can I get a free printable rental application form?

Here. Fill in your part above and download it in Word or PDF: no account, no email and no watermark. Print as many as you need.

Is there a rental application online form?

You fill in your part online above. The applicant’s part downloads as Word, which they can fill in on a computer, or as a PDF to print or send. What you type stays in your browser.

Is there a special rental application form California requires?

No state form is required, but Cal. Civ. Code § 1950.6 governs the screening fee: actual cost only, up to $30 per applicant as adjusted each year since 1998, an itemized receipt, unused money returned, and a copy of the credit report within 7 days. Choose California above and the form includes those terms.

Is there a rental application form Hawaii landlords must use?

No. Hawaii prescribes no form, so this one works there. Landlord and tenant law is chapter 521 of the Hawaii Revised Statutes; check it before charging an application fee, because this page states no Hawaii fee figure.

What is a free rental verification form for?

It is a page the applicant signs and you send to their previous landlord, who confirms the dates, the rent, whether it was paid on time and whether they would rent to them again. Tick the box above and it is added to the form.

How much can I charge for a rental application?

It depends on the state and the city. Some cap the fee or say what it may cover, as California does above; where nothing does, charge only what screening actually costs and say so on the form.

Can I turn an applicant down?

Yes, for a reason that applies to everyone, such as income or rental history measured against criteria written down in advance. Never for a protected characteristic, and if a credit report played a part, tell the applicant as 15 U.S.C. § 1681m requires.

This is not legal advice.Screening rules differ by state and city and change over time. Where much is at stake, check with a local attorney before you use the form.

Bring one property. Let the next tenancy run itself.

Add the property and see the lease, the rent and the paperwork in one place, before you decide anything.
