How it works

Three steps, then the rent roll keeps itself.

  1. 1

    Add your leases

Upload the signed PDFs. Dardaris reads the units, rents and dates, and asks you to check them.

  2. 2

    Connect your bank

Read only. Each rent payment is matched to its lease, so paid and overdue are always true.

  3. 3

    Open it any day

Occupancy, rent in place, arrears and leases ending soon, current the moment a lease is signed or a payment lands.

What is a rent roll

A photograph of a property's income on one date.

A rent roll, also called a rental roll, lists every unit of a property or a portfolio on a single day: who lives there, what they pay, how long the lease runs and whether they are behind. It is the first document anybody judging the property asks for, because it shows the income before anyone has had a chance to describe it.

ColumnWhat it answersWhat the reader checks it against

The questions that follow.

What is a rent roll, or rental roll?

A rent roll is a list of every unit in a property or portfolio on a given date, with the tenant, the monthly rent, the lease dates, the deposit held and any past-due balance. It shows the property's rental income and occupancy at a glance.

What should a rent roll include?

At least the unit, the tenant, the monthly rent, the lease start and end dates, the deposit held and any amount past due, plus the date the roll was prepared. Many also show the unit size, the market rent and any concessions such as a free month.

What is the difference between a rent roll and a rent ledger?

A rent roll covers every unit on one date. A rent ledger covers one tenancy over time, with each charge and payment and the running balance after it. Lenders and buyers ask for the rent roll; a tenant disputing a balance asks for their ledger.

Who asks for a rent roll?

Lenders when you finance or refinance, buyers during due diligence, appraisers, insurers and accountants. It is also the most useful page for a landlord to look at once a month.

What is a certified rent roll?

A rent roll the owner signs to confirm it is true and complete, usually at a lender's or a buyer's request. Because you are vouching for every figure, check each line against the lease and the bank before signing.

Should vacant units be on the rent roll?

Yes. A vacant unit stays on the roll with no tenant, so occupancy is calculated against every unit and the reader can see what is not earning. A roll that leaves vacancies off overstates occupancy.

How often should a rent roll be updated?

Monthly is the usual habit, after the rent has come in, and always fresh on the day somebody asks for one. A rent roll is a snapshot, so an old one is simply out of date.
