How a case opens

An arrears case opens the day after an invoice falls due unpaid, and closes itself the moment the money is matched. It is a case rather than a flag because it has a history: what was sent, when, what the tenant said back.

The ladder

Escalation is a ladder, and every rung is a different tone.

1. A free first reminder, three days after the due date, carrying every mention the law requires. Auto.
2. A firmer reminder that adds statutory interest and a compensation amount. Review, because it adds money to somebody's debt.
3. A formal notice of default, by registered post. Review, always.
4. A demand on the guarantor, where the lease has one. Review, always.

Only the first rung runs without you, because a free reminder a few days late is the one that actually works. Everything from the second reminder onward puts money on the debt or starts a legal step, and it comes to you first with the calculation shown in full. See approving something.

Payment plans

Agree a plan and Dardaris tracks it as its own schedule. The ladder pauses while the plan is being kept, and resumes at the rung it had reached if it is broken. It does not restart from the beginning, because that would be dishonest about how long this has been going on.

Tenants it slows down for

A tenant can be marked as vulnerable, or as not to be automated at all. The two do different things. A vulnerable tenant makes a rung wait for you instead of sending, and the first reminder does not go out at all. A tenant marked not to be automated stops the run outright: Dardaris drafts nothing and records that it stood down. Both switches live on the contact, and both outrank the workflow. Quiet hours apply here too, and anything chasing money is held to a stricter window than the rest: nothing goes out between 20:00 and 09:00. See settings.
